Working with tasks

Tasks are the atomic unit of work in ProTasks. This guide covers everything you can do with a task — from quick create to subtasks, dependencies, and recurring tasks.

The task detail panel — everything about one task in one place.

Create a task

There are three ways to create a task:

  1. 1

    Click '+' at the bottom of any column on a board.

  2. 2

    Use the global 'New task' button from the top bar.

  3. 3

    Use the AI task generator to draft a whole list from a brief.

Tip

Keep titles short and action-oriented. 'Draft Q3 newsletter copy' beats 'Newsletter'.

The task detail panel

Click any task to open its full detail panel. From here you can edit title, description, owner, due date, priority, labels, subtasks, attachments, and custom fields — all without leaving the board.

Subtasks

For tasks with multiple steps, use subtasks instead of creating a separate card. Open a task → scroll to the Subtasks section → add as many as you need. Tick them off as you go; the parent task shows a progress bar.

Tip

If subtasks need different owners or due dates, promote them to full tasks instead.

Dependencies

Mark a task as blocked by another. Until the blocker is complete, ProTasks prevents the dependent task from being moved to Done — and shows a warning on the card.

    Open a task → Dependencies → 'Add blocker'.

  2. 2

    Pick the task(s) that must complete first.

  3. 3

    Save. The blocking icon appears on both tasks.

Recurring tasks

For work that happens on a cadence — weekly status reports, monthly invoices — use recurrence instead of recreating tasks manually.

    Open a task → Recurrence → pick daily, weekly, biweekly, or monthly.

  2. 2

    When this task is marked complete, the next instance is automatically created.

Watchers, comments, and notes

Add yourself as a watcher to follow a task without owning it. Use Comments for quick exchanges and Notes for longer collaborative writing. Both support @mentions to ping teammates.
