Privacy Policy

This Privacy Policy describes how ProTasks.ai ("ProTasks", "we", "us", "our") collects, uses, and shares information when you use our task management service ("the Service").

We collect the following types of information:

• Account information: name, email address, and profile picture provided by your authentication provider (e.g., Google).
• User content: tasks, boards, comments, attachments, and other data you create within the Service.
• Usage data: log data, device information, and analytics about how you interact with the Service.
• Integration data: when you connect third-party services (e.g., Google Calendar, Slack), we access only the data needed to provide the requested features.

• Provide, maintain, and improve the Service
• Authenticate your account and keep it secure
• Send notifications, reminders, and service-related communications
• Respond to your support requests
• Analyze usage to improve features and performance

We do not sell your personal information. We may share data with:

• Team members: content you create on shared boards is visible to others you've shared it with.
• Service providers: trusted vendors who help us operate the Service (e.g., hosting, analytics, email delivery).
• Legal requirements: when required by law or to protect our rights.

When you connect a third-party service, you authorize ProTasks to access specific data from that service via OAuth. We request the minimum data needed for each feature and never sell or share this data with third parties. You can disconnect any integration at any time from your account settings.

• Google Sign-In (OpenID + email): we use your Google account to authenticate you and to display your name, email, and profile picture inside the app. We do not access any other Google data through sign-in.
• Google Calendar (optional): if you connect Google Calendar, we read your calendar events to display them alongside your ProTasks tasks, and we write tasks you choose to sync as calendar events. We only read/write events related to tasks you have explicitly chosen to sync. We never read or modify unrelated events.
• Slack (optional): if you connect Slack, we post task notifications to the channel you select. We only access channel metadata needed to send messages you have configured. We do not read messages from your Slack workspace.

All integration tokens are stored encrypted and used only by ProTasks to power the features described above.

ProTasks' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, this means:

• We only use Google Calendar data to provide and improve the user-facing calendar sync features you have explicitly enabled (displaying your events alongside tasks and creating events for tasks you choose to sync).
• We do not transfer Google user data to third parties except as necessary to provide these features, to comply with applicable law, or as part of a merger or acquisition with prior notice to you.
• We do not use Google user data for advertising purposes.
• We do not allow humans to read your Google data, except with your explicit consent for a specific message or document, where necessary for security purposes (e.g., investigating abuse), to comply with applicable law, or where the data has been aggregated and anonymized.
• We do not use Google user data to train generalized artificial intelligence or machine learning models.

You can revoke ProTasks' access to your Google data at any time from the Calendar Sync page in the app, or via your Google Account security settings. Upon disconnection, we delete the associated access tokens.

If you are in the European Economic Area (EEA) or the UK, we process your personal data under the following legal bases:

• Contract: to provide the Service you have signed up for.
• Consent: for optional analytics cookies, which you can grant or withdraw at any time.
• Legitimate interests: to secure, maintain, and improve the Service.
• Legal obligation: where we must process data to comply with the law.

We retain your information for as long as your account is active or as needed to provide the Service. When you delete your account, we permanently erase your personal data and content, except where we are required to retain certain records to comply with legal obligations. You may request deletion of your account and associated data at any time from Settings → Privacy & data.

Your data may be processed in countries outside your own, including the United States. Where we transfer data internationally, we rely on appropriate safeguards such as the EU Standard Contractual Clauses to ensure your data remains protected.

We use industry-standard security measures to protect your data, including encryption in transit and at rest. However, no system is 100% secure, and we cannot guarantee absolute security.

Depending on your jurisdiction (including under the GDPR), you may have the right to:

• Access the personal data we hold about you — download a full copy from Settings → Privacy & data → Export my data.
• Rectify inaccurate or incomplete data — edit your profile in Settings.
• Erase your data — delete your account anytime from Settings → Privacy & data → Delete my account.
• Port your data — your export is provided in a machine-readable JSON format.
• Withdraw consent for analytics — use the Manage cookies control in the footer or in Settings.
• Object to or restrict certain processing.
• Lodge a complaint with your local data protection supervisory authority.

We use cookies and similar technologies to keep you signed in, remember preferences, and (with your consent) analyze usage patterns to improve the Service. Analytics cookies are disabled by default until you accept them. You can change or withdraw your choices anytime via the Manage cookies link in the footer or in your account settings.

The Service is not intended for users under 16. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We'll notify you of significant changes by email or through the Service.
