Plan, prioritize and ship — just ask.
1. Create your workspace
When you sign up, you'll be prompted to pick a workspace name and choose how you want to use ProTasks (solo, team, or agency). Don't overthink it — you can change anything later.
2. Create your first board
Boards are where work lives. Each board has columns (like 'To do', 'Processing', 'Done') and tasks that flow through them.
- 1
Click 'Boards' in the sidebar, then 'New Board'.
- 2
Give it a name (e.g. 'Marketing Sprint') and pick a color.
- 3
Use the default columns or customize them for your workflow.
- 4
Click 'Create Task' to add your first task.
Most teams start with one board per project. You can star important boards to keep them at the top of the sidebar.

3. Add some tasks
Every task can have a title, description, owner, due date, priority, labels, subtasks, and attachments. You can also drag tasks between columns to update their status — and time tracking starts with one click.
4. Invite your team
ProTasks is built for teams. Bring yours in.
- 1
Open the sidebar and click 'Team'.
- 2
Switch to 'Staff list' and click 'Invite member'.
- 3
Enter their email and pick a role (admin or user).
- 4
They'll get a sign-in link via email.
Admins can create boards, manage resources, and invite others. Regular users can be assigned tasks and contribute to any board shared with them.
5. Switch between views
ProTasks shows the same tasks across four views: Kanban, List, Calendar, and Timeline. Use the tab switcher at the top of any board to pick the one that fits the moment.
6. Connect Slack and Google Calendar
Two-way Google Calendar sync keeps your due dates in lockstep with your calendar app. Slack notifications let your team know when tasks are assigned, completed, or due. Both are one-click connections from Settings.
