Using AI to plan projects

5 min read

ProTasks has AI built into a few key places — a conversational assistant, generating task lists from a brief, summarizing activity, and running background research. Here's how to use each one well.

protasks.app · AI task generator

AI Task Generator

Describe your project — I'll draft the tasks

Type a brief, get a structured task list — ready to drop onto any board.

AI task generator

Turn a one-line brief into a structured task list with sensible priorities and owners.

  1. 1

From My Schedule or any board, click the ✨ AI button.

  2. 2

Describe the project in plain English. Be specific about the goal and timeline.

  3. 3

Review the generated tasks — edit titles, owners, and due dates as needed.

  4. 4

Click 'Add to board'. Tasks are inserted into the column of your choice.

Tip

Better briefs = better tasks. 'Launch our Q3 newsletter' gives mediocre results. 'Plan a 4-week launch for our Q3 newsletter — content brief, design, copy review, scheduled send, follow-up email' gives great ones.

AI Assistant chat

The AI Assistant is a chat that knows your boards and tasks. Ask it what to focus on, have it create or reschedule tasks, or summarize a board — by typing or with voice. Open it from the sidebar.

Tip

Read the full guide: 'The AI Assistant: chat with your work'.

AI Researcher

Queue up a research question and come back later to findings + cited sources. Useful for competitor scans, market research, or anything you'd otherwise paste into a chatbot ten times.

  1. 1

Open the Research page from the sidebar.

  2. 2

Click 'New research' and enter your topic and any extra context.

  3. 3

Pick a duration (15 minutes to 24 hours).

  4. 4

The research runs in the background — come back when it's done to read the markdown summary.

What AI is good at

AI in ProTasks is a great drafting partner. It excels at:

  1. 1

Turning vague ideas into structured task lists.

  2. 2

    Doing first-pass research with sources.

  3. 3

    Summarizing long activity threads.

What it isn't

AI doesn't know your team's velocity, your client's politics, or what to actually prioritize. Use it for the first 70% of a task — bring your judgment for the last 30%.

Tip

Never auto-publish AI-generated content directly to a client. Always review.
