Time tracking

Tracking time on tasks

5 min read

ProTasks has time tracking built into every task, so you can capture hours without context-switching to a separate app. Here's how to use timers, manual logs, and weekly reports.

Every task has a built-in timer with live tracking.

Start a timer

Every task has a built-in timer. Start it when you begin work, stop it when you're done. Multiple users can log time on the same task, and each entry is attributed to whoever started it.

  1. 1

Open any task to see the timer in the side panel.

  2. 2

Click 'Start timer'. The clock starts and the task shows a live indicator.

  3. 3

When you're done, click 'Stop'. The duration is saved as a time log.

  4. 4

Optionally add a short note describing what you worked on.

Tip

You can only have one timer running at a time per user. Starting a new timer automatically stops the old one.

Log time manually

If you forgot to start the timer, you can log time after the fact. Open the task, scroll to the Time section, and click 'Add manual entry'. Enter hours, minutes, and an optional note.

Estimated vs actual

Each task has an optional 'estimated time' field. Setting estimates lets you compare against actuals over time — useful for getting better at quoting and planning.

Tip

Don't sweat early estimates. The point is to track the delta over time so the team's estimating gets sharper.

Weekly reports

From the board view, switch to the workload section to see weekly time breakdowns per person and per task. For client billing, group by client to see exact hours per account each week.

Common patterns

Teams typically use time tracking for one of three reasons:

  1. 1

Billing clients by the hour — track every task, report weekly.

  2. 2

Internal capacity planning — log everything, then balance workload across the team.

  3. 3

Estimate calibration — track only big projects, compare estimated vs actual at the end.
