Using recurring tasks for retainers

If you have work that repeats on a cadence — weekly reports, monthly retainers, quarterly reviews — recurring tasks save you from recreating them by hand. Here's how to use them well.

Set recurrence in the task detail panel — daily, weekly, biweekly, or monthly.

How recurrence works

When you set a task to recur, completing it automatically creates the next instance with the same title, description, owner, labels, and custom fields. Only the due date moves forward by the chosen interval.

Enable recurrence

    Open any task.

    Find the Recurrence section.

  3. 3

    Pick a cadence: daily, weekly, biweekly, or monthly.

  4. 4

    Save. When you complete this task, the next one appears in the same column.

Tip

Recurring tasks always start in the column the previous one was completed from. If you want them to start in 'To do', move them there before marking the previous instance complete.

Use cases that work great

  1. 1

    Monthly retainer: 'October content batch for Acme' → marks complete → November instance appears.

  2. 2

    Weekly reports: 'Send weekly status to client X' → repeats every Monday.

  3. 3

    Quarterly reviews: 'Q3 performance review' → repeats every 3 months.

  4. 4

    Daily standups: a checklist task that resets each morning.

When NOT to use recurrence

If the work changes meaningfully each time (different scope, different deliverables), don't use recurrence — create separate tasks. Recurrence is for genuinely repeated work, not similar-but-different work.

Editing recurring tasks

Edits to a recurring task only affect future instances created after the edit. Already-created instances keep their original details so your history stays accurate.

Stopping recurrence

Open the task → Recurrence → set to 'None'. Future instances stop being created. Existing ones remain untouched.
