Create a board
- 1
From the sidebar, click 'Boards' → 'New board'.
- 2
Give it a clear name. For client work, use the format [Client] – [Project].
- 3
Pick a color — purely cosmetic, but useful when you have many boards.
- 4
Customize the starting columns or use the defaults: To do, In progress, Review, Done.
Don't overthink the name. You can rename a board any time from board settings.
Columns
Columns map to the stages your tasks pass through. Most teams need 4–6 columns max — anything more and the board becomes hard to scan.
- 1
Open board settings → Columns.
- 2
Drag to reorder. Click a column to rename or delete it.
- 3
Add new columns with 'Add column'. Delete cleans up all tasks in that column.
Custom fields
Custom fields capture data that doesn't fit into title/description. Common examples: estimated hours, billable flag, client priority, T-shirt size.
- 1
Open board settings → Custom fields → 'Add field'.
- 2
Pick a type: text, number, dropdown, checkbox, or date.
- 3
For dropdowns, provide the option list.
- 4
Toggle 'Internal' to hide the field from the client view.
Resist adding fields until you've felt the pain of not having one. Most boards run beautifully with just title, owner, due date, and labels.
Save as template
Once you have a board structure you like, save it as a template so future boards start with the same columns, custom fields, and automations.
- 1
Open board settings → 'Save as template'.
- 2
Give the template a name (e.g. 'Agency Client Project').
- 3
Next time you create a board, pick this template as the starting point.
Star and archive
Star frequently used boards to pin them at the top of your sidebar. Archive boards you're done with — they stay searchable but disappear from the active list.
