Why a Clients database

Most agencies eventually need answers like: 'who owns the Acme relationship?', 'what boards are tied to this client?', 'when did we last talk to them?'. A Clients database keeps those answers in one place — without paying for a full CRM you don't need yet.

Add a client

    Open Clients from the sidebar → 'New client'.

    Add name, company, contact details, and website.

    Set contract status (Lead, Active, Paused, Churned, Archived).

    Assign an owner — the teammate who manages this relationship.

    Optionally add billing details, tags, and notes.

Link boards to clients

Each client has a 'Linked boards' field. Connect the boards that belong to that client so when you open the client, you see all active work in one place.

Tip

Use the consistent naming convention [Client] – [Project] on board names so the link makes intuitive sense at a glance.

Track last contacted

Update the 'Last contacted' field after each meaningful interaction. Sort clients by 'Last contacted' to spot accounts that have gone quiet — a great list to start your week with.

Import clients in bulk

Already have your client list in a spreadsheet? Use 'Import' on the Clients page to upload a CSV. Match columns to fields and import in one click.

When to graduate to a real CRM

If you're doing active outbound sales, multi-touch deal pipelines, or sales forecasting, you've outgrown this and should use a dedicated CRM. For service businesses managing existing client relationships, the Clients database is usually all you need.
