Importing data into ProTasks
Migrating from Asana, Trello, Notion, or a spreadsheet? ProTasks can import boards, tasks, and clients from a few common formats. Here's how.

Supported import sources
You can import data from:
- 1
CSV files (most flexible)
- 2
Excel spreadsheets (.xlsx)
- 3
JSON exports
- 4
Screenshots and images (using AI extraction)
Import a board from CSV
- 1
Open the Import page from the sidebar.
- 2
Upload your CSV file.
- 3
Map your CSV columns to ProTasks fields (title, status, owner, due date, etc.).
- 4
Review the parsed preview.
- 5
Click 'Import'. Tasks land on a new board.
Before importing, clean your CSV: remove header rows that aren't data, normalize date formats, and make sure status values map to columns you want.
Import from Asana / Trello
Both tools let you export to CSV. From Asana: Project → ⋯ → Export → CSV. From Trello: Board menu → Print and Export → Export as CSV (Power-Up). Then use the import flow above.
Import from images
Have a board on a whiteboard or in a screenshot? Use 'Import from media' to extract tasks via AI.
- 1
On the Import page, choose 'From media'.
- 2
Upload a screenshot or photo.
- 3
AI extracts task titles and statuses — review and edit before creating the board.
Works best on clean digital screenshots. Handwritten whiteboards work but expect more cleanup.
Import clients
On the Clients page, click 'Import' → upload a CSV with name, email, company, etc. Map columns and import in bulk.
What we don't import (yet)
Comments, file attachments, and historical activity logs from other tools aren't imported. If those matter, keep your old tool around in read-only mode for a few months while teams reference history when needed.
