Sending invoices and getting paid
ProTasks invoices turn your logged time directly into billable line items. Pick a client, choose the work, send the PDF. No copy-pasting from timesheets, no separate billing tool.
Invoices
Creating an invoice

Go to Invoices in the sidebar and click 'New invoice'.

Pick a client from your Clients database.

Set an invoice number (auto-suggested) and due date.

Add line items manually, or click 'Import from time logs' to pull in this period's logged hours.

Review the totals, add tax if needed, and save.
Set a default hourly rate on each client so line items pre-fill the right amount.
Auto-billing from time tracking
If your team logs time on tasks (via the built-in timer or manual entries), you can convert that time into invoice lines with one click. Each line shows the task title, hours, rate, and total — clear enough for any client to understand.

On the invoice editor, click 'Import from time logs'.

Pick a date range (e.g. last month).

Optionally filter by board or assignee.

Confirm — the lines appear in the invoice, fully editable.
Sending the invoice
Click 'Send' to email the invoice as a PDF directly from the app. The client receives it from your workspace email, branded with your logo if you've added one in workspace settings.
You can also download the PDF and send it through your own email client if you prefer — same file, same look.
Tracking status
Each invoice has a status — Draft, Sent, Paid, or Overdue. Filter the invoices list to see what's outstanding at a glance.

Draft → still being edited, never sent.

Sent → emailed to the client, awaiting payment.

Paid → mark manually once you've received payment.

Overdue → past the due date and still unpaid.
Branding your invoices
Invoices use your workspace branding — logo, brand color, and business name. Set these once in Settings → Workspace and every future invoice picks them up. White-labeling your client touchpoints (invoices, client view, emails) makes a small team feel like a much bigger studio.
