What's new in ProTasks: May 2026

A big month

May was one of our biggest shipping months yet. Here's a rundown of what's new.

AI Researcher: longer runs, better sources

We extended the maximum research duration to 24 hours and improved how findings are summarized. Long-form research tasks now come back with:

• A markdown executive summary at the top
• Section-by-section findings with inline citations
• A list of all sources at the bottom, ranked by relevance

Great for competitor scans, market research, and any deep-dive you'd otherwise outsource.

New automation triggers

Three new triggers shipped this month:

• Due date approaching — fires 24h before a task is due (configurable)
• Task assignee changed — fires when an owner is reassigned
• Priority changed — fires on priority bumps and demotions

Combined with conditions, these unlock automations like "when a task becomes urgent AND it's assigned to me, DM me on Slack."

Client view: hidden custom fields

You can now mark any custom field as internal-only. Internal fields stay visible to your team but disappear from the client view automatically. Perfect for hours, internal status, cost, and similar fields you don't want clients seeing.

Timeline redesign

The Gantt-style timeline got a visual refresh:

• Cleaner bar styling with progress overlay
• Better weekend shading and "today" line
• Drag the edge of a bar to change start or due dates
• Group by assignee, priority, or label

Slack: customize bot name

Admins can now set the bot display name from Settings → Slack. Most agencies set it to their studio name so client-facing channels feel branded.

Workload improvements

The Team view now shows:

• Hours logged this week vs target
• Overdue task count per person
• Visual indicators for overloaded teammates (>40h/week)

Use it before sprint planning to spot capacity issues before they become deadline issues.

Coming in June

We're cooking on:

• Recurring task templates — set up monthly retainers once, never again
• Email-to-task — forward an email to a board to create a task
• Mobile apps — the iOS and Android versions are in private beta
