Kanban, Calendar, Timeline, List: which view should you use when?

One dataset, four perspectives
In ProTasks, every board gives you four ways to look at the same tasks: Kanban, Calendar, Timeline, and List. They aren't different tools — they're different lenses on the same data. Move a card in Kanban and the Calendar updates. Drag a bar in Timeline and the List reflects it.
Here's when to use each.
Kanban — for flow
Use Kanban when the question is "what's in progress?". Columns map to your workflow stages (Backlog → In Progress → Review → Done), and dragging cards between them is the most natural way to move work forward.
Best for: design sprints, content pipelines, bug triage, sales pipelines.
Calendar — for time
Use Calendar when the question is "when?". Day, week, and month views let you see deadlines, schedule meetings, and spot conflicts. Drag tasks around to reschedule. Two-way Google Calendar sync means your work tasks and personal calendar live together.
Best for: editorial calendars, campaign launches, anything with hard dates.
Timeline — for sequence
Use Timeline when the question is "in what order?". Gantt-style bars show duration, owners, and progress. You can see overlaps, dependencies, and the critical path at a glance.
Best for: product roadmaps, multi-week projects, launches with handoffs between teams.
List — for action
Use List when the question is "what do I need to do?". Sortable, filterable, bulk-editable. Strip away the visual chrome and just power through.
Best for: weekly reviews, triage sessions, bulk reassignments.
Pro tip: save views
Any filter combination — "my tasks, due this week, high priority" — can be saved as a view. Switch between them with one click. Each teammate gets their own saved views per board.
The takeaway
Don't pick a tool that locks you into one way of seeing your work. Pick one that adapts to the question you're asking right now.
